Terms of Service

Last updated: September 2026

These Terms govern the use of Ardeo, a software-as-a-service platform for product discovery, customer feedback, prioritisation, roadmaps and related product-management activities.

By creating a workspace, accepting an invitation, purchasing a subscription or otherwise using Ardeo, you agree to these Terms. If you use Ardeo on behalf of an organisation, you confirm that you are authorised to accept them on its behalf.

  1. 1.About Ardeo

Ardeo provides software that helps organisations collect and understand customer feedback, conduct product discovery, gather evidence, prioritise opportunities, maintain roadmaps, communicate product updates and connect with third-party services.

Ardeo is not a project-management or software-development execution system and does not replace tools such as Jira or Linear. Features may vary by subscription plan.

  2. 2.Business use

Ardeo is intended for business and professional use, and may be used only for lawful business purposes in accordance with these Terms.

If you create a workspace on behalf of a company or other organisation, that organisation is the customer of Ardeo.

  3. 3.Accounts

Users are responsible for providing accurate account information, keeping login credentials secure, protecting access to authentication devices and recovery codes, and promptly notifying Ardeo of suspected unauthorised access.

Accounts may not be shared between individuals unless explicitly supported by the applicable subscription. You are responsible for activity performed through accounts under your control.

  4. 4.Workspaces and customer portals

Each Ardeo workspace belongs to one subscribing organisation. Administrators may invite internal members and external customer contacts, who operate in separate access environments.

Workspace owners and administrators are responsible for assigning appropriate roles and permissions, managing customer access, determining what is made visible externally, and ensuring the users they invite are authorised to see the relevant information.

Ardeo does not automatically publish internal workspace information to customer portals.

  5. 5.Customer content

Customer Content means information uploaded, entered, generated or otherwise provided by users of a workspace: requests, customer feedback, discovery information, evidence, comments, research responses, uploaded files, roadmap content and customer communications.

The customer retains all rights to Customer Content and Ardeo claims no ownership of it. You grant Ardeo a limited right to process Customer Content solely as necessary to provide, secure, maintain and improve the service and to perform features requested by authorised users.

  6. 6.Responsibility for customer content

Customers are responsible for ensuring they have the right and lawful basis to upload and process Customer Content in Ardeo.

You must not upload content that infringes third-party intellectual-property rights, is unlawful, contains malware, is intended to compromise Ardeo or another system, or contains information you are not authorised to process.

Ardeo does not independently verify whether customers have obtained the necessary permissions or consents for data uploaded to their workspace.

  7. 7.Ardeo AI

Ardeo AI is available only on plans that include AI functionality, and may assist with summarising evidence, identifying gaps or unanswered questions, analysing research responses, identifying similar requests, suggesting wording and drafting customer-facing communications.

Ardeo AI is an assistive tool. AI-generated output may be incomplete, inaccurate or inappropriate and should always be reviewed. Ardeo AI does not independently make product decisions, and its output is never intended as professional, legal, financial, safety or regulatory advice. Users remain responsible for decisions made using AI-generated information.

When an AI function is used, Ardeo sends limited relevant content to an AI service provider to perform the requested operation. Ardeo is designed to minimise what is sent, and does not intentionally include unnecessary customer-identifying information, unrelated workspace data or complete customer databases. This is described further in the Privacy Policy and, where applicable, the Data Processing Agreement.

AI functionality can be switched off for a workspace in its settings, or disabled on request.

  8. 8.No automated customer communication

AI-generated or automatically suggested content is not sent to customers unless an authorised user explicitly approves or triggers that communication.

Users are responsible for reviewing customer-facing information before publication or transmission.

  9. 9.Subscription plans

Ardeo offers different subscription plans. Limits and included features may cover the number of internal users, products, customer organisations and customer contacts, storage capacity, AI functionality and integrations.

The applicable limits are shown at the time of purchase and within the application. Ardeo may change future pricing or plan structures, subject to reasonable notice for existing paid subscriptions.

  10. 10.Free plan

Ardeo may offer a free plan with lower usage limits, which may exclude features such as AI and integrations.

Ardeo may change the limits of the free plan with reasonable notice, and will not intentionally delete customer data solely because a free-plan limit changed without first providing reasonable notice or another appropriate option.

  11. 11.Trials

Ardeo may offer free trials of paid functionality. Unless stated otherwise, trials do not require payment details, access to trial features ends when the trial expires, and data created during the trial is not automatically deleted.

If a workspace exceeds the limits of the plan it returns to, existing information may remain readable while creation of additional data is restricted.

  12. 12.Billing

Paid subscriptions are billed monthly or annually, depending on the selected subscription, and fees are shown before purchase.

Unless otherwise agreed, subscriptions renew automatically, fees are charged in advance and are exclusive of applicable taxes, and paid fees are non-refundable except where required by law or explicitly agreed. Customers are responsible for maintaining valid billing information.

  13. 13.Failed payments

If payment fails or remains overdue, Ardeo may notify workspace owners, restrict paid functionality, suspend integrations or AI functionality and eventually suspend access.

Ardeo will make reasonable efforts to give notice before restricting access. Data is not immediately deleted as a result of a failed payment.

  14. 14.Downgrades

If a workspace moves to a plan with lower limits, Ardeo does not automatically delete existing Customer Content.

Where usage exceeds the new limits, existing data may remain accessible while creation of new data is restricted, uploads are paused, AI or integrations become unavailable, and configuration remains stored for later reactivation. Customers may upgrade or reduce usage to regain full functionality.

  15. 15.Storage

Plans may include a specified amount of storage, applying primarily to uploaded files and other binary assets.

If a workspace reaches its storage limit, new uploads may be blocked until storage is freed or additional capacity is purchased. Ardeo does not automatically delete existing files because a limit has been reached.

  16. 16.Fair use

Certain functionality, including AI operations, API usage, notifications and integration activity, may be subject to reasonable fair-use limits.

Ardeo may apply limits where usage materially exceeds normal business use, threatens platform stability, creates disproportionate infrastructure or third-party costs, or appears automated, abusive or fraudulent. Where practical, Ardeo will contact the customer before imposing significant restrictions.

  17. 17.Integrations

Ardeo may integrate with third-party products including Jira, Linear, Slack, Microsoft Teams, HubSpot, APIs and webhooks. Those services are not controlled by Ardeo, and customers are responsible for their own accounts, permissions and agreements with those providers.

Ardeo is not responsible for third-party outages, API changes, data loss caused by a third-party service, or changes to third-party pricing or functionality, and may modify or discontinue an integration when a provider changes or removes required functionality.

  18. 18.Customer portals

Customers may publish certain information through an Ardeo customer portal. The workspace owner decides which requests and roadmap items are visible, what public wording is used, and which customer contacts are invited.

Ardeo separates public and internal information technically, but customers should nevertheless review externally published content before making it available.

  19. 19.Acceptable use

You may not use Ardeo to violate applicable laws, gain unauthorised access to systems or data, circumvent security or subscription controls, scan or probe the service for vulnerabilities without written permission, distribute malware, conduct denial-of-service attacks, access another customer's workspace, scrape or extract data at unreasonable scale, resell Ardeo unless authorised, or build or train a competing service using Ardeo's proprietary software or documentation.

Reasonable security research should be reported responsibly.

  20. 20.Service availability

Ardeo aims to provide reliable availability but does not guarantee uninterrupted service unless a separate Service Level Agreement applies.

Maintenance, security incidents, third-party failures or circumstances outside Ardeo's reasonable control may temporarily affect availability. Enterprise customers may receive separate uptime or support commitments.

  21. 21.Changes to the service

Ardeo is continuously developed, and features may be added, modified or discontinued.

Where a change materially reduces important paid functionality, we will make reasonable efforts to give advance notice. Minor improvements, security changes and refinements may be made without notice.

  22. 22.Beta and experimental features

Some functionality may be marked Beta, Preview, Experimental or Early Access. Such functionality may change without notice, contain defects, have limited support or be discontinued.

Do not rely on beta functionality for critical business processes unless explicitly agreed.

  23. 23.Security

Ardeo uses technical and organisational measures intended to protect the service and Customer Content.

Customers remain responsible for user access management, selecting appropriate permissions, protecting credentials and removing users who should no longer have access. No online service can guarantee absolute security.

  24. 24.Data protection

Where Ardeo processes personal data on behalf of a customer, Ardeo acts as a processor and the customer generally acts as controller.

The parties may enter into an Ardeo Data Processing Agreement where required. Ardeo's handling of personal data is described further in the Privacy Policy.

  25. 25.Confidentiality

Each party may receive confidential information from the other. Confidential information must be used only for the purpose of providing or using Ardeo, protected using reasonable measures, and not disclosed to third parties except where necessary to provide the service or where legally required.

Customer Content is considered confidential information.

  26. 26.Intellectual property

Ardeo and its software, design, documentation, branding, trademarks and underlying technology remain the property of Ardeo or its licensors.

Customers receive a limited, non-exclusive, non-transferable right to use the service during the subscription period. These Terms do not transfer ownership of Ardeo software or intellectual property.

  27. 27.Feedback about Ardeo

If you provide suggestions or feedback about the Ardeo product itself, Ardeo may use that feedback to improve the service without restriction or compensation.

This does not transfer ownership of Customer Content or of customer product ideas stored within Ardeo.

  28. 28.Backups and exports

Ardeo may maintain backups for operational and disaster-recovery purposes.

Customers should export or retain copies of information they consider essential. Ardeo is not intended to serve as the sole archival system for legally required records unless explicitly agreed.

  29. 29.Suspension

Ardeo may suspend access where reasonably necessary to prevent security incidents, respond to unlawful activity, protect other users, address significant payment failure or prevent misuse of the platform.

Where reasonably possible, customers will be informed before suspension.

  30. 30.Termination

Customers may cancel their subscription in accordance with the applicable billing terms.

Ardeo may terminate an account if the customer materially breaches these Terms and fails to remedy the breach after reasonable notice. Immediate termination may occur in cases of serious abuse, unlawful activity or significant security risk.

  31. 31.Data after termination

After termination, Ardeo may provide a limited period during which customers can export their data.

After the applicable retention period, Customer Content may be permanently deleted from active systems and later from backups according to normal backup-retention cycles. Enterprise agreements may contain different arrangements.

  32. 32.Disclaimer

Ardeo is provided on an “as available” basis.

To the maximum extent permitted by applicable law, Ardeo does not warrant that the service will always be uninterrupted, that every feature will be error-free, that AI-generated content will be correct, that integrations will always remain available, or that using Ardeo will result in a particular business or product outcome. Customers remain responsible for their own product decisions.

  33. 33.Limitation of liability

To the maximum extent permitted by law, Ardeo will not be liable for indirect or consequential losses, including lost profits, lost revenue, loss of business opportunity, reputational damage, or loss resulting from product decisions made using Ardeo or Ardeo AI.

Ardeo's total aggregate liability relating to the service will not exceed the fees paid by the customer during the 12 months preceding the event giving rise to the claim, unless applicable law requires otherwise. For free accounts, a separate reasonable liability cap may apply. This limitation does not apply where liability cannot legally be excluded or limited.

  34. 34.Indemnification

Customers are responsible for claims resulting from unlawful Customer Content, violation of third-party rights, misuse of the service, or use of Ardeo in violation of these Terms.

Any indemnification obligations should be interpreted to the extent permitted by applicable law.

  35. 35.Force majeure

Neither party is liable for failure to perform caused by circumstances reasonably outside its control, including major internet outages, natural disasters, war, government action, large-scale cyber incidents, or failure of critical infrastructure or third-party providers.

  36. 36.Governing law

These Terms are governed by the laws of the Netherlands.

Unless otherwise agreed in writing, disputes will be submitted to the competent court in the Netherlands. Enterprise customers may agree different dispute-resolution arrangements in their contract.

  37. 37.Order of precedence

If you have a separately signed agreement with Ardeo, the following order applies in case of conflict: signed customer agreement or Order Form; Data Processing Agreement; Service Level Agreement; these Terms of Service; other product documentation.

  38. 38.Changes to these Terms

Ardeo may update these Terms from time to time. Material changes affecting paid customers will be communicated with reasonable advance notice.

Continued use of Ardeo after the effective date constitutes acceptance of the updated Terms, where permitted by law.
